This policy explains what information EasyCare (Pvt) Ltd (“EasyCare”, “we”) collects through this website, what we use it for and who we share it with.
Information you give us
Appointment requests
- Your name, mobile number and, if you provide it, your email address
- Your vehicle’s make, model and registration number
- The service, date and time you ask for, and anything you write in the notes box
Contact form
- Your name, mobile number and, if you provide it, your email address
- Your message
Job applications
- Your name, mobile number and, if you provide it, your email address
- The position you apply for and anything you add in the message box
- The CV you upload, and whatever personal information it contains
How we use it
- To contact you about your appointment request and confirm a date and time
- To carry out the work you ask for and keep a record of it
- To reply to your enquiry
- To assess your job application and contact you about it
We do not sell your information, and we do not share it with other companies for their marketing.
Who we share it with
We use a small number of service providers to run this website. They handle information on our behalf.
HubSpot (customer records)
Appointment requests are recorded in HubSpot, the customer relationship management (CRM) system we use to manage appointments. When you send a request, the website creates or updates a customer record with your name, mobile number, email address (if given) and vehicle registration number, and an appointment record with your vehicle’s make and model, registration number, the service requested, your preferred date and time, and your notes. HubSpot stores this on its own systems, which may be located outside Sri Lanka, under its own privacy policy and security measures.
Contact-form messages and job applications are not sent to HubSpot.
Contact-form messages and job applications, including your CV, are delivered to EasyCare by email, through our email service provider. If you give an email address, we may send you an email confirming that we received your request or application.
Website hosting
The company that hosts this website processes the information you submit as it passes through the website, and keeps standard technical logs such as IP addresses and the pages requested.
WhatsApp, phone, maps and social media
Buttons on this website can open WhatsApp, your phone’s dialler, Google Maps or our Facebook page. If you use them, those services handle your information under their own privacy policies. Some pages show an embedded Google map; Google may collect information and set cookies when the map loads.
Cookies and analytics
This website does not set cookies of its own. To protect our forms from misuse, it briefly uses your IP address to limit how many submissions can be sent in a short time; this is not stored.
This website does not currently use analytics or advertising tools. If that changes, we will update this policy first.
How long we keep it
We keep appointment and customer records for as long as we need them to serve you and to maintain our service records. We keep enquiries and job applications for as long as we need them to deal with the enquiry or the vacancy. You can ask us to delete your information at any time, as described below.
How we protect it
Information you submit is sent over an encrypted (HTTPS) connection. Access to our customer records and inboxes is limited to the EasyCare staff who need it. No system can be guaranteed to be completely secure, but we take reasonable steps to protect your information.
Your choices
You can ask us to:
- tell you what information we hold about you;
- correct information that is wrong;
- delete your information, where we are not required to keep it.
To make a request, call us on 0720 450 460, message us on WhatsApp on 0720 440 460. For job applications, you can also email easycarej@gmail.com. We may need to confirm your identity before acting on a request.
Changes to this policy
We will update this page if the way we handle your information changes. The date at the top shows when it was last updated.
